RFx evaluation matrix for RFQ and RFP scoring

Score up to five bidders on weighted criteria, with knockout requirements and automatic price scoring, so the award decision is documented and defensible.

What is inside

3 sheets, ready to use.

Yellow cells are yours to fill in. Grey cells calculate. Every sheet has a worked example so you can see the expected format.

Criteria

Seven weighted criteria with what a 5 looks like, plus four knockout requirements.

Scoring

Bidder prices and scores, automatic price score, weighted totals, knockouts, ranking and the award rationale.

How to use it

Four steps from download to a decision.

No macros, no add-ins. It works in Excel, Google Sheets and LibreOffice.

01

Set the criteria weights before bids are opened. They must total 100%.

02

Enter each bidder’s price, a score from 1 to 5 per criterion, and Pass or Fail per knockout.

03

Price is scored automatically: the lowest price gets 5, others get 5 x lowest price / their price.

04

Bidders who fail a knockout are excluded from the ranking. Record the award rationale and approval.

Spreadsheet or platform

Start in Excel. Move when the volume or the stakes grow.

The template and the platform use the same structure, so nothing you set up here is wasted.

Questions

Before you download

How do you weight criteria in an RFP or RFQ evaluation?

Fix the criteria and weights before any bid is opened, keep to a handful of criteria, and let each evaluator score independently before you compare. Changing weights after seeing the bids is the quickest way to lose the credibility of the result.

Is the template really free?

Yes. The file downloads directly, with no form and no email address.

When should we move this out of Excel?

When several people rate the same suppliers, when suppliers need to see their results, or when actions get lost between file versions. That is usually the point where a shared platform pays back. Signs you have outgrown the spreadsheet →
